About the Position:

The successful candidate will play a key role in ensuring smooth and efficient People & Culture (P&C) operations as well as supporting a variety of strategic projects P&C in a high-growth exciting company.  Reporting to the Vice President, People & Culture, the P&C Associate is a knowledgeable, resourceful team player, providing co-ordination and support to the department and to people across the organization.  The P&C Associate is a highly organized, thorough and detail-driven member of the team who is involved  in maintaining the P&C calendar, project work-back schedules and communications, supporting department budgets and invoices, entering and maintain employee data and insights via Dayforce,  and providing overall support based on departmental needs. 

This is an important role within the team and has an opportunity to be involved in the development and implementation of new P&C practices and programs in support of the company achieving its business goals and growth plans. 

Key Functions and Responsibilities:

P&C System, Data and Insights

  • Become a Ceridian Dayforce Expert - leverages technology to develop/deliver key metrics, compile data and create reports
  • Advance current functionality and further implement options within the system to improve P&C overall reporting (i.e. Automate consistent Headcount reporting – tracking all types of employee movement)
  • Find and implement efficiencies to streamline Dayforce administration and ensure timely communications with key internal stakeholders
  • Ensure information is accurate and current at all times

 

P&C Administration

  • Provide general administrative support to VP, P&C – booking meetings, preparation of reports/document, PP presentations, P&C team meeting agendas and gathering status updates, etc.
  • On-going maintenance of P&C files – ensuring records are organized and outdated files archived
  • Track and reconcile invoices and ensure timely payment
  • Support the budget process and track YTD spends and forecasts

 

On-Boarding & Off-Boarding

  • Establish strong, consistent process to ensure all aspects of on-boarding and off-boarding administration are completed in a timely fashion (Dayforce administration/forms, policy acknowledgements) and coordination with internal partners is in place to ensure smooth onboarding of new staff
  • Implement new processes for 1st day arrangements, and 2-week onboarding schedules and formalized probationary period follow ups

 

Policies & Procedures:

  • Supports the development of policies, procedures and manages on-line policy training
  • Support the Health & Safety program – ensure process/policies are followed and tracked

 

Performance Management

  • Support the performance management program
  • Follow up with management as appropriate to support 100% compliance of mid-year and year-end performance reviews

 

Recruitment

  • Support Equiton talent acquisition process as required
  • Leverage Dayforce to advance and streamline accurate and timely recruitment reporting, metrics and dashboards for executive audience
  • Draft job offers and completion of references and background checks

 

Learning & Development

  • Support employee training needs and source learning vendors
  • Involved in the implementation of the Dayforce Learning Module
  • Track completed L&D programs via Dayforce

 

Employee Engagement

  • Support the employee engagement surveys process and prepares summary reports
  • Monitors engagement level participation and progress made
  • Support the gap analysis and monitoring action plans progress throughout the year

Required Skills and Abilities: 

  • Represent the P&C function in a professional, knowledgeable, and relatable manner
  • Highly organized and efficient – ability to create process and follow set guidelines consistently
  • Strong business and data acumen - Proven attention to detail, thoroughness, accuracy and analytical nature
  • Excellent judgement and ability to navigate nuance - Ability to think strategically/connect-the-dots and deliver exceptional results
  • Proactive and self-starter - accountable to achieve results/solution problems without follow-up
  • Excellent communication skills, positive mindset, and natural team player - Keep team members apprised of salient info
  • Ability to multitask, meet deadlines and make sound decisions based on priorities and risks
  • Proficient in Microsoft Office Suite - Microsoft Outlook, Word, PowerPoint, and Excel

Education and Experience:

  • P&C Generalist background minimum 2-3 years of progressive experience working in a high growth, entrepreneurial environment – mid to large size financial, real estate investment management-related organization is ideal
  • Undergraduate degree in a relevant field and/or HR certification
  • Human Resources Professionals Association of Ontario (HRPA) with CHRP or CHRL designation in progress
  • Solid understanding of employment law, regulations, and best practices
  • Experience with Ceridian Dayforce highly desirable
