About the Team

The Human Resources team helps to recognize and develop the talents, potential and calling of the individuals in our organization. Through Human Resources expertise and best practices, we enable our staff to flourish,  so together we can achieve the mission of Power to Change (P2C). Our team supports the 10 ministries and departments of P2C in providing guidance, resources, programs, and services. 

About the Role

The HR Services Representative provides customer service to our staff and administrative support to the HR team. This position processes and responds to staff inquiries on HR-related forms and procedures. As a key member of the HR team, this role involves following up, collecting, and data entry of staff information changes into the HR systems.

This role will be held accountable to achieving the following objectives:

1) Process and ensure there is accurate staff information and maintain database integrity: 

● New staff are set up in HR database with all the necessary information
● New staff are set up with the Information Technology and Corporate Services departments 
● Prepare and send out employment and volunteer agreements 
● Review and process all incoming staff paperwork/forms by the last day of pay period in preparation for payroll to be processed (employment agreements, allowance calculator forms, etc) 
● Produce reports for ministry leaders from HR database as requested 
● Produce regular reports to audit data integrity 
● All forms and employment agreements are filed electronically

2) Provide excellent and timely service to staff: 

● All staff inquiries and policy information requests are handled in a timely and appropriate manner 
● When requested, employment letters are prepared in a timely and accurate manner

 

3) The HR team is supported in particular areas as follows: 

● Recruiting and Onboarding administrative support is provided 
● Work on the short check report each pay period
● Manage and produce staff changes report 
● Oversee the HR Inbox to ensure staff are responded to in a timely manner.

4) Other: 

● Attend Chapels weekly and HR prayer meetings and Bible studies 
● HR office environment is organized and tidy 
● Other duties as assigned 

    

About You

  • You must be legally entitled to work in Canada
  • You have 1 to 3 years experience in an administrative role with  strong organizational skills 
  • You excel at working autonomously while effectively managing various tasks with consistent quality.
  • You possess a demonstrated proficiency in handling numerical data.
  • You are able to shift focus to urgent requests while maintaining accuracy
  • You have solid written and oral communication skills 
  • You have outstanding problem-solving skills 
  • You are proficient with Microsoft products (Word, Excel, PowerPoint) 
  • You are familiar with Google products (Google hangouts, Google docs, etc.) 
  • You have experience with the Dayforce database system or similar (considered an asset)
